The one thing that tells you to switch

You are losing enquiries because nobody replied in time.
Not "we are getting bigger", not "it would look more professional". If messages come in after hours, or several staff are fighting over one phone, or customers are asking the same five questions all day — that is the moment the API pays for itself. Before that, it is overhead.

When you should stay on the free app

  • One person handles all the replies and keeps up fine
  • Fewer than roughly 20 enquiries a day
  • You do not need to connect any other system
  • You are not sending notifications at scale

There is no shame in this. Moving to the API when you do not need it just adds cost and a 2–3 week wait.

Things people get wrong

Does the API replace the app on my phone?

Not quite. Once a number is on the API it can no longer be used in the WhatsApp Business App — that is why most businesses put the API on a separate number and keep the original running.

Do customers see any difference?

No. From the customer's side it is the same WhatsApp chat. What changes is what happens on your side.

Is the API the same as those bulk-blast tools?

No. Tools that log into WhatsApp unofficially breach WhatsApp's terms, and if the number is banned there is no appeal route and the chat history goes with it. The API is the official channel.

Can I go back to the free app later?

You can deregister the number from the API, but it is a process, not a switch. Decide before you migrate a number you depend on.
